What personal data we collect
Depending on what you submit, we may collect:
- Name
- Email address
- Phone number
- Booking / event details (e.g. selected event, preferred date/time, group size, message details)
- Any information you choose to include in the message box
- Marketing consent choice (Yes/No)
- Technical details when you use our website (basic analytics/log data where enabled)
Please avoid sharing sensitive personal information (e.g. medical details) unless it is genuinely necessary for us to safely support your visit.
How we use your data
We use your data to:
- Respond to enquiries and manage bookings/events
- Confirm availability, organise your visit, and provide customer support
- Send booking/event communications you requested (not marketing)
- Send marketing updates/offers only if you have consented (or where the “soft opt-in” applies)
- Maintain basic records for business administration (e.g. managing requests and preventing spam)
Our lawful bases for processing
- Bookings/enquiries: We process your data because it is necessary to respond to you and manage your booking/event request (and for our legitimate business interests in running and improving our service).
- Marketing: We send marketing messages by email and/or SMS only where you have consented, or where UK “soft opt-in” rules apply and you were given a clear option to opt out.
Marketing preferences and unsubscribe
If you choose “Yes” to marketing, you can unsubscribe at any time. Every marketing email we send includes an unsubscribe link. You can also contact us to update your preferences.
If you choose “No”, we will not use your contact details for marketing.
Who we share your data with
We may share your data with trusted service providers that help us run our website and manage enquiries, such as:
- Email form processing: FormSubmit (to deliver form submissions to us)
- Email marketing: Kit (for newsletter subscriptions and marketing emails)
- Records/admin: Google services (e.g. Google Sheets) if you have been told your submission is logged there
- Website hosting: Our hosting provider (to store and serve the website)
These providers act as “processors” and are only allowed to process your data for the services they provide to us.
International transfers
Some of our service providers may store or process data outside the UK. Where this happens, we rely on appropriate safeguards required by UK data protection law.
How long we keep your data
- Booking/enquiry messages: kept for as long as needed to handle your request and for reasonable business records.
- Marketing subscribers: kept until you unsubscribe or ask us to remove you.
We regularly review what we keep and delete what we no longer need.
Your rights
You have rights over your personal data, including the right to:
- request access to the data we hold about you
- request correction of inaccurate data
- request deletion of your data (in certain situations)
- object to or restrict certain processing
- withdraw marketing consent at any time (unsubscribe)
To exercise your rights, contact us using the details above.
Complaints
If you are unhappy with how we handle your data, please contact us first so we can help. You can also complain to the UK Information Commissioner’s Office (ICO).
